Incorrect values for sales, capacity, occupancy

The following steps will help you to identify deviations in capacity, occupancy and sales in your PMS

Sometimes it can happen that the key figures between happyhotel and the PMS system are different. The reasons for this issue are not clear. Since each interface has a unique structure, there are a few steps that need to be followed to find the reason for the deviation. 

There are normally three key figures where deviations can occur. In this article, we will show you how to perform an initial diagnosis to help us identify the cause.

How does happyhotel calculate key figures?

Before we go into the individual possible reasons for the deviating key figures from the PMS, here are some important key data on how happyhotel calculates key figures:

→ The calculations of the key figures are based on postings.

→ For better comparability for revenue management, net lodging values are used. Under the ‘Integrations’ menu item in the settings, you can see what exactly is being used.

→ A frequent source of error for deviating key figures is that we ignore/do not calculate €0 bookings in the ADR
.


We will now look at the individual possible reasons.

1. Deviation in occupancy

The different values are mostly due to the fact that the occupancy rates between happyhotel and PMS are not identical. It is therefore important to first compare the occupancy rates in both systems if the key figures differ.

If the allocations between the two systems do not match, it can be assumed that the calculated key figures are also incorrect.

In addition, you should also check whether there are filtered room categories that may need to be included in the calculation.

2. Deviations in occupancy with the same number of occupants

If the occupancy is identical in both systems, but the occupancy rate differs, it is usually because the availabilities in happyhotel have been entered incorrectly.

In this case, you must first check the PMS to see which room category has how many rooms available. As soon as you have the information, you must correct it in happyhotel.

Important! Please also check the PMS settings to see whether the availabilities are synchronised. If this is the case, please correct the availabilities in happyhotel (below in the video) or let us know the correct availabilities → support@happyhotel.io

3. Deviations in the bookings

Similar to point 1, the bookings must be checked here. Please also note that your interface (PMS) calculates key figures differently from happyhotel. Therefore, find out how your PMS processes key figures.

Is the number of bookings or are the booking numbers identical to those in the PMS?

Yes: If the bookings are identical, the next step is to check availability. Here you can see where you can check availability in happyhotel:

Just look at the number of rooms.

No: If the booking number/number of bookings is different, the different bookings and room numbers must be identified. Please find out which bookings do not match and send them to us at support@happyhotel.io.

4. Variance in sales

There may be various reasons for deviating sales, despite matching capacity and occupancy, which are usually also PMS-dependent.

→ Please check whether you are looking at the net lodgings in the reports in your PMS, as only the net lodgings are charged in happyhotel. 

→ Check the availability of your room categories. (See video in 2. an)

→ Check whether you have rooms that are charged twice, as they may be two rooms, but are only charged as one room in happyhotel.

→ There may be room categories that are included in your revenue in the PMS, but which were filtered by us because you did not want to use them in happyhotel.

→ Is there possibly a room category in which you move your bookings? Perhaps payments by bank transfer or cash payments are collected under a certain room category.
